Start by accurately identifying the machine

The brand and model are almost never enough. A reference like "loader model X" helps guide the search, but it doesn't guarantee the compatibility of a filter, a cylinder, or a gear. Before any search, note down the information on the manufacturer's plate: complete model, serial number, year or period of manufacture, engine type, and, if it appears, chassis reference.

On some older machines, the plate may be faded, moved after a repair, or simply difficult to access. Look around the chassis, engine compartment, cab, transmission casing, or near the central articulation. Take a clear photo of the plate and the relevant part. These two elements prevent you from working solely from memory, especially when a machine has had several owners.

The serial number is often the decisive criterion. Manufacturers introduce changes during production: a hose may have a different fitting after a certain serial number, a pump may be replaced by a modified version, or an electrical harness may change with the addition of a cab option. A part advertised for the correct model but for the wrong serial number range remains the wrong part.

Distinguish between manufacturer reference and engraved reference

The manufacturer reference is the one used in the parts catalog. It may not appear directly on the component. A reference engraved on an alternator, hydraulic pump, or injector sometimes corresponds to the equipment manufacturer, not the machine manufacturer's order number.

Both pieces of information are useful, but they do not have the same role. The engraved reference helps identify the sub-assembly or a technical equivalent. The catalog reference allows you to verify the exact assembly on your equipment. When in doubt, always compare the designation, dimensions, connections, and position of the part on the exploded view.

Use a construction equipment spare parts catalog

A parts catalog, also called a parts book or spare parts list, is the most useful document for ordering without approximation. It presents the machine by assemblies: engine, cooling, hydraulics, axles, braking, transmission, cab, electrical system, bucket, or rear equipment. Each drawing assigns a mark to a component, and then a list associates this mark with a reference and a quantity.

This method is more reliable than an internet photo search. An image may show a part that is outwardly similar but incompatible due to its diameter, thread, or length. The exploded view places the part in its actual assembly and shows associated elements: washers, seals, spacers, clips, bushings, or specific screws.

To use the document correctly, start by locating the system at fault. If the bucket lowers by itself, first consult the relevant hydraulic circuit rather than the entire machine. If the starter does not crank the engine, check the electrical diagram and the starting group. Then note down the mark from the drawing, the indicated reference, and the required quantity.

Don't forget so-called consumables or mounting parts. Replacing a cylinder without providing its seals, or dismantling a casing without ordering the corresponding seal, can prolong downtime. The catalog often reveals these dependencies. However, you should avoid automatically ordering all neighboring elements: some are only replaced if wear is observed.

Check reference replacements

References evolve. An original part may have been replaced by a newer reference, sometimes accompanied by an adaptation kit. This phenomenon is common for hydraulic components, pollution control elements, sensors, and certain engine parts.

A replaced reference does not mean that the old one was erroneous. It generally indicates a manufacturing or availability evolution. Check if the replacement is direct or if it requires an additional connection, fastening, or programming. For sensors and electronic modules, compatibility also depends on the machine's configuration.

Do not confuse parts catalog and workshop manual

The parts catalog answers the question: "Which part is mounted on my machine?" The workshop manual answers another question: "How to dismantle, inspect, and reassemble this system correctly?" On construction equipment, the two documents complement each other.

The workshop manual provides diagnostic procedures, tightening torques, clearances to check, hydraulic pressures, and disassembly sequences. Without this information, an exact reference is not always sufficient to perform a reliable repair. This is especially true for a powershift transmission, an injection pump, an axle, or a piloted hydraulic control.

The operator's manual, on the other hand, is for daily use and routine maintenance: fluid levels, lubrication, periodicity, dashboard alerts, and safety instructions. It replaces neither the parts list nor the repair manual. Choosing the right document therefore depends on the planned work: identifying, maintaining, diagnosing, or repairing.

Checks to make before ordering

Before validating an order, take the time to cross-reference the information. This step takes a few minutes and can prevent several weeks of waiting, especially for an old machine or a component shipped from abroad.

Check at least the following elements:

  • the complete model and serial number of the machine;
  • the reference noted in the parts list;
  • the mark on the exploded view and the quantity needed;
  • the dimensions, connectors, threads, or fittings visible on the removed part;
  • any machine options, such as air conditioning, auxiliary control, or cab type.
For a filter, belt, or battery, dimensions can help confirm the choice, but they should not replace the catalog reference. For a hydraulic hose, check the diameter, fittings, orientation of the connectors, and operating pressure. For an electrical part, compare the number of pins, the connector, and the voltage. Partial compatibility is rarely sufficient for a construction machine.

Managing old parts and modified machines

Construction equipment often remains in service for several decades. This is good news for their profitability, but it complicates document retrieval. Some components are no longer manufactured, others are available under a new reference, and some have been replaced during previous repairs.

A modified machine requires particular vigilance. A previous owner may have installed a different pump, adapted hoses, fitted a universal alternator, or replaced an engine. In this case, the parts catalog remains essential for knowing the original configuration, but you must also identify the part actually installed before ordering.

Never force an adaptation because a part "looks almost identical." On hydraulics, braking, steering, or lifting elements, improper assembly can lead to a serious breakdown and a risk to the operator. If the information does not match, document the assembly with photos, visible markings, and useful measurements.

Create a technical file for each machine

For workshops, operators, and owners of multiple machines, keeping documents in one place saves a considerable amount of time. Create a file for each machine with the nameplate, operator's manual, workshop manual, electrical diagrams, and spare parts list.

Add repair invoices, references already replaced, and photos taken before disassembly.
